Additional packages

With additional packages, several extras (e.g. coffee, brunch, spa access) and resources (e.g. e-bikes, beach bags, ice skates) can be bundled into packages. Instead of posting each extra individually or booking the resources separately, a package allows you to combine all associated extras in a single action, despite differing VAT rates. Additional packages are comparable to the management of Spa packages and Event packages.

For example, additional packages can be used to design a "Pre check-in package" so that spa access, the cake buffet, and the beach bag are captured at the same time.

Procedure

1. Define additional packages

• Go to Hotel >> Master data >> Additional packages
• Create a new package or edit an existing package.
• Add the desired extras (e.g. menu, croissants etc.) and, if applicable, resources (e.g. garage space). In the package extra, the posting rhythm, the price, whether the extra is per person, and the person groups can be defined. In the package resource, the price calculation and the time/duration (when the resource is deducted from capacity) can additionally be defined.
• Within the packages (additional package, event package, and spa package), a position can be assigned to the extras and resources.
  • This position is entered as the package position in the reservation extras/reservation resources when posting.
  • Based on this position, the extras/resources are sorted in the accounting account, offer, event overview, and Webmail.
• Packages can be charged with the accommodation and be posted overall per person (in which case the "Per person" flag is activated on all package extras and resources).

2. Book an additional package

Access to additional packages is provided in the extra postings of the reservation via two paths, which lead to the same overview:

• Tab "Extras": here the commands "Book additional package…" (opens the selection dialog for a new package directly) and "Charged packages" (opens the overview of already charged packages) are available.
• Tab "Packages": shows the same overview as "Charged packages" in the "Extras" tab. Here too, the command "Book additional package…" is available to add further packages.

In the overview of charged packages, existing bookings can be edited (see point 3), split, or deleted.

If the selected package contains resources (e.g. e-bikes, child seats etc.), the Resource assistant opens to record the time- and space-based assignment.

Alternatively, an additional package can also be booked via the Spa Planner – see the section "Booking and viewing additional packages via the Spa Planner" at the end of this article.

3. Edit a charged additional package afterwards

In the "Charged packages" overview, the following options are available for already charged additional packages:

• Quantity: direct entry in the table cell, if the same quantity was previously present across all associated postings (extras and resources). A quantity greater than 1 is only possible if neither the package itself nor any of its extras or resources has the "Per person" flag activated – as soon as at least one component of the package is posted per person, each person must be booked individually (quantity 1). When changed, the new value is automatically applied to all associated postings.
• Discount: direct entry in the table cell, analogous to quantity, provided a uniform discount was previously present across all postings of the package.
• Room reservation/Room guest: can be changed either directly in the table cell or via the command "Assign room guests…", provided the assignment was previously unambiguous across all postings.
• Printed: the print status of individual package positions can be set manually directly in the table. This is useful, for example, when printing a product list and certain packages (e.g. spa packages) should not be printed along with the others – without having to manually set the "Exclude" filter each time.
• Print receipt: via the command "Print receipt" or the printer icon, the receipt for the package can be printed (single print, list print, or serial print, depending on the document selected).
• Split…: splits the quantity of a package – see the dedicated section below.
• Delete…: removes the posting; possible only via this command.

Editing the fields Quantity, Discount, Room reservation/Room guest, and Printed is only possible if the value in question was previously identical across all individual postings of the package. If a non-uniform state already existed (e.g. different discounts per extra), the field is locked to prevent unintended incorrect corrections.

"Split" command (split quantity)

The Split command has been extended: in addition to the split quantity, the number of split operations can now also be specified. This allows, for example, a package with quantity 100 to be split into 9 individual packages with quantity 10 in a single step, instead of having to execute the Split command nine times separately.

4. Delete an additional package

• In the overview of charged packages, the "Delete…" command is available to remove a package.

5. Check the result

• After successfully booking an additional package, all extras are shown in the extra postings with the corresponding reference to the package.
• This way, all individual services are combined with just a few clicks, reducing time and effort.

Booking and viewing additional packages via the Spa Planner

This section applies exclusively to hotel companies that actively use the Spa module.

If the Spa module is active, additional packages can also be managed directly from the Spa Planner, without having to switch to the reservation:

• After selecting the room reservation, room guest, or guest in the Spa Planner, use "Book additional package…" to select and post the desired package as usual – the process corresponds to the one described in point 2 via the extra postings.
• Via "Charged packages…", the packages already charged for the selected room guest can be viewed directly in the Spa Planner, without having to open the reservation. The packages are always displayed in full with all associated postings – even when a package has in the meantime been split across multiple accounting accounts.

All other steps described in this article (defining, editing, deleting, checking the result) remain unchanged, regardless of whether the booking is made via the Spa Planner or via the extra postings.

Additional tips

• Make packages flexible: adapt the content of your additional packages to seasonal conditions (via Price indices in the package).

By making smart use of additional packages, you save time when posting multiple extras and, thanks to the Resource assistant, keep a clear overview of availability. Use this feature to offer your guests attractive package deals and to make internal processes more efficient.
